What is annualized working time?

Annualized working time is a system for organizing work hours over a 12-month period, where employees have weeks of high or low activity that balance out over the year.
The goal is to structure the employee’s schedule according to periods of more or less intense activity.

This system is legally regulated, and depending on the collective agreement, restrictions may apply regarding maximum working hours or defining weekly thresholds for triggering overtime.

Forecast schedule for annualized working time

Organizing work while respecting the total hours to be worked can be challenging.
To simplify this, JOUROFF’s annualized working time tool allows you to define a forecast schedule that distributes work hours week by week over the annualization period.
This forecast schedule helps monitor differences between planned hours and actual hours worked.
You can also include vacation and absence planning to manage the employee’s complete activity.

Annualized working time simulator

Our annualization schedule replaces cumbersome Excel sheets.
It adapts easily to the current year based on your reference period (12 consecutive months).
The schedule acts as an annualized working time simulator, providing an overview of planned hours across the year.

Some companies use it as a simulator by entering projected hours for the full year.

Planned hours: projected hours for the year
Actual hours: hours actually worked by the employee
Paid leave: entered outside the annualized quota
Other absences: sick leave or absences considered as effective working time

Beyond a simulator, this forecast schedule allows effective management of annualized contracts and can simulate example annualization calculations.

Tracking hours worked

Annualized working time requires implementing a system to record work hours.
As an HR tool for tracking hours and annualization, JOUROFF offers multiple dashboards that allow monitoring of hours worked by employees.
Our HR annualization tool provides an overview of the modulation calendar… you can see at a glance the employees’ working time month by month, as well as the weekly hours worked.

This general overview allows you to easily manage work time modulation to control leave quotas, as well as periods requiring compensatory rest for employees.

Key indicators for work time modulation

Annualization involves work time modulation over a 12-month period.
However, to respect the contractual hours, each company needs to closely monitor the evolution of the work time counter month by month or quarterly.
The work time modulation software provides a dashboard showing key indicators for tracking work modulation.
At any time, you can assess the end-of-period situation to anticipate potential overtime.
For this, the annualization software provides a list of remaining workdays from the current date until the end of the reference period.
This analysis of remaining days or hours allows better anticipation, for example by offering compensatory rest to employees to maintain a balanced modulation schedule.

Annualization tracking

The HR annualization tool allows you to track the number of hours worked per year.
Depending on the reference period, you can see the total declared hours as well as regular hours worked excluding overtime.
Moreover, annualized working time requires tracking of planned leave within the annualization framework.
This task can be complex, especially since certain absences, such as sick leave, are not counted as annualization rest.
That is why we provide a dashboard to manage the different indicators.

Compensatory rest

In general, hours worked beyond the annualization quota are recovered at the end of the period as compensatory rest. These hours may be paid according to the collective agreement.
We offer the possibility to evaluate the situation during the period.
Suppose that mid-year the employee has worked more hours than planned…
Thanks to the “Time Spent Summary” dashboard, you can view the number of hours worked over a given period.
At the same time, the software allows you to credit either the overtime counter for recovery or a leave-type counter.
Offering rest hours helps regulate annualization hours during the period.

Hour entry

The software offers several ways to record working hours.

Timesheet entered by the Employee

Thanks to our online timesheet tool, employees can enter their working hours independently.
The software allows entering hours progressively from Monday, saving as a draft and submitting the timesheet at the end of the week.
This allows employees to be reactive in reporting hours.
However, you can set the validation frequency of timesheets on a weekly or monthly cycle.
In the latter case, the software provides a timesheet covering all days of the month.

Timesheet entered by the Manager

In organizations where employees do not have computer-based roles, the tool allows managers to fill in employees’ timesheets.
Managers can access all employees’ timesheets to record working hours.

Timesheet recurrence

Why fill in timesheets when working hours are known in advance? JOUROFF introduces the recurrence feature, which pre-fills the timesheet. Employees save 90% of their time as the software fills in their timesheet automatically.

Mass scheduling

To fill timesheets several weeks in advance, we offer the Planning Profile feature. A planning profile represents a base of working time. It allows mass scheduling several weeks ahead by selecting the weeks to fill, then validating to populate multiple timesheets in one click.

Annualized working time: calculation rules

The annualization quota (number of hours worked per year) takes several factors into account:

Definition of a reference period, usually the calendar year.

Number of working days in the reference period

Weekly rest days

Public holidays

Paid leave deductions in annualization

Then, within annualization tracking, it is necessary to count working time over the reference period.
This can be tedious, especially as contracts or absence periods vary per employee.
This is why JOUROFF, as a portal for tracking annualized hours, provides an Annualization Tracking dashboard to control paid leave or remaining leave to respect the annualization quota.

In parallel, the Annualization Tracking tool offers an Annual Counter dashboard to manage reported hours week by week.

Annualized working time: and overtime

In general, annualized working time involves counting overtime at the end of the reference period.
Overtime can be recovered as compensatory rest or paid according to the collective agreement.

However, some agreements trigger overtime during the reference period if the upper limit is exceeded during a high-activity week.
In this context, JOUROFF offers an Overtime Threshold mechanism to be configured per employee contract and according to overtime rules for annualization.

Annualization and calculation of hours worked per project

Tracking annualized hours and managing activities within your company

Annualized working time considering paid leave and deductible absences

Work time modulation feeding a recovery time counter

Application of annualization with end-of-year overtime calculation and multipliers according to agreements. For example, 35–43h at 25% rate, above 43h at 50% rate

Timesheet-based hour entry feeding the annualization tracking dashboard

Web portal providing a modulation hours table, on a quarterly, semiannual, or annual basis

Time management with activation of an hourly counter when an employee exceeds a certain threshold.
For example: Part-time employee contract (22h). In this case, the software associates a threshold (22h) for triggering complementary or overtime hours depending on the case.

Annualized hours management combined with project-based time billing

Annualized contract employees with the possibility to track salary costs related to time spent (budget tracking)

Annualization managed together with client project management

Indeed, our system distinguishes between annualization hours and client time tracking.

Features of the annualized working time software

HR Settings

Application Area

On each employee record, define the weekly working hours.
This setting allows tracking any weekly modulation hours. At the same time, to trigger overtime, the annualization software provides the option to set an overtime trigger threshold.
Modulation Hours Trigger Threshold

Depending on the contract or the provisions of your annualization agreement, you can configure a threshold to automatically assess whether the employee is entitled to overtime or not.
In some companies, the annualized working time agreement provides for overtime to be triggered when the employee exceeds a maximum weekly working time, most often 48 hours. In the annualization software, this threshold is configurable.

Modulation Hours Threshold for Sunday Work
If your annualization agreement provides for an extra rate for hours worked on Sundays.
Modulation Hours Threshold for Public Holidays Worked
Tracking hours and applying additional rates when the employee works on public holidays.
Tracking Specific Hours within Annualization
In some cases, hours to be calculated concern specific time slots. For example, from the 10th to the 12th hour worked, the annualization tool calculates the hours applying the corresponding overtime rate.
Recovery Hours or Compensatory Rest to Regulate Annualization
Recovery hours may be applied to regulate the employee’s work pace. This is similar to compensatory rest within annualization tracking. However, recovery hours are subject to approval by the HR Manager.
Payment for Hours Worked Beyond the Annual Quota
According to annualization agreements, generated overtime may be paid according to the employee’s contractual hourly rate. The annualized working time software offered by JOUROFF allows you to activate and feed the payment counter easily.
Annualization Hours Entry
The time entry interface is represented by a timesheet adaptable to your constraints. For example, you can enter hours as start and end times… or simply indicate the daily number of hours worked.
Timesheet Validation

The annualization software offers two modes of operation:

The employee is autonomous and accesses the time entry tool to submit timesheets for validation by the Manager.
Time entry can be handled by the HR Manager, allowing the employee to continue reporting hours on a paper or Excel sheet submitted to the Manager.

Number of Hours Worked per Year

The number of hours worked per year must be defined per employee.
It corresponds to the annual quota established in the annualization agreement.
Within the software, this setting represents the entry point to activate the annualization dashboard.
