Easily calculate working time with the free hours calculator
How to calculate your working hours?
Nothing beats a free online hours calculator to estimate your hours from a weekly or monthly timesheet to print.
In most cases, calculating working hours is based on the weekly working time, in order to assess hours worked beyond the employee’s contract.
The hourly calculation table we offer aims to make date-by-date calculations easier.
The case of a 35-hour contract with compensatory time, having worked 8 hours the first 4 days from Monday to Thursday, and 7 hours on Friday.
Total hours worked = 8 + 8 + 8 + 8 + 7 = 39h.
Hours to recover = 39 – 35 = 4h.
If a 25% increase applies from the 36th to the 39th hour, the quota of increased hours = 4 * 0.25 = 1h.

Weekly working hours calculation
Under French labor law, the legal weekly hours quota is 35h.
These 35h lead to establishing a monthly average of 151.67 h.
It is this base of 151.67 h that is considered on the payslip, to smooth the hours monthly consistently, regardless of the difference in working days between months.
Therefore, even if the month has 28, 30, or 31 days, the employee is assured of being paid based on 151.67 h.
The calculation of 151.67 hours is done as follows: 35 hours x 52 weeks / 12 months.
Calculating working hours – what is it?
Calculating working hours is a process by which the employee enters their hours and then sees the total hours worked during their employment period.
Working time calculation refers to the employee’s contractual weekly working hours.
Reported hours are added minute by minute to compare with the contractual hours to determine overtime or undertime.
If your employees ask how to calculate their hours, this working time calculation table gives the keys to easily add up hours.
Online timesheet or Excel template for working time calculation?
Frequently asked questions by HR managers and employees when setting up a system for recording or adding hours.
With this hours calculator, JOUROFF provides a method to calculate worked hours, taking into account your company’s working time organization rules.
Calculating working hours requires integrating HR organization rules defined within the company.
To make it easier, the working hours calculation table offers several options for entering hours.
Depending on the frequency defined for time entry, it is possible to fill in a weekly timesheet, with the ability to freely choose the target week number.
In most organizations, working time calculation is managed weekly.
The goal of this calculator is to track worked hours smoothly, providing a free downloadable timesheet.
Better than an Excel working time table, the JOUROFF calculator offers advanced options beyond a simple downloadable timesheet template.
No more Excel template to calculate hours!
This working time calculator automatically includes a navigation system to view different months or weeks without having to recreate or adjust an Excel timesheet.
The online timesheet represents a module of the working hours calculator, extracted from our online hourly calculation solution, for your free benefit.
Monthly working hours calculation
In some companies, working time calculation is done using a monthly timesheet. This allows a general view of hours worked during the month.
Most often, the company updates a work hour counter for the entire year.
However, monthly working hours calculation can optimize the frequency of timesheet validation… or simply facilitate tracking hours for a service performed over a full month.
Note that the online timesheet can be used by freelance contractors who need to track hours worked per project or client.
Our time calculation system allows adding hours and minutes, or summing total hours flexibly.
You can dynamically switch to a different hourly calculation mode depending on the company’s HR rules.
If you want to calculate hours worked for the full month, the working hours calculation sheet allows navigation through the months of the year.
Thanks to these different time entry options, the timesheet adapts to various company organizations… whether for a simple addition of hours worked or for advanced use to calculate working time.
How to report hours to ensure accurate working hours calculation?
The working hours calculator is a table that allows adding hours.
The calculation formulas are pre-coded to make it easier.
You just need to report working hours as clock-in/out times.
Thus, the week’s hours accumulate at the bottom of the timesheet.
This hours calculator also serves as a work schedule, as the table can be printed as a PDF showing working hours.
Applications of working hours calculation
Working hours calculation applied to leave
The work hours counter is updated based on hours actually worked by the employee.
Thus, to calculate working hours, the employee must account for their leave days.
Therefore, the company may prefer a working time calculation system that also tracks absences.
This constitutes a separate domain because it involves implementing HR rules for leave accrual and deduction.
The timesheet here emphasizes working hours calculation rather than paid leave calculation.
However, you can use this working time calculator to log hours by activity.
The list of activities in the timesheet allows recording different types of activities.
You can define an activity called leave/absence and include it in the calculator.
By convention, a day of leave is estimated at 7 hours.
In this case, the preferred format for entering hours is total hours per day.
In the end, the working hours calculator provides weekly or monthly hour totals, depending on the chosen frequency.
All these hours accumulate in the working time counter to evaluate the annual quota for recovery or payment of hours.
Example of daily hours entry:
Monday: Administrative management (7h)
Tuesday: Training (3.5 h)
Tuesday: Timesheet validation (3.5 h)
Wednesday: Paid leave (7h)
Thursday: HR management (7h)
Friday: Team meeting (7h)
Total calculation: 7h + 3.5h + 3.5h + 7h + 7h + 7h = 35h
We consider the weekly working time as 35 hours.
Note that in some agreements, 35h can be adjusted to 37h, considering that from the 35th to the 37th hour (37 – 35), there are 2 hours compensated by RTT or compensatory leave.
Working time calculation applied to HR hours tracking
The objectives of working hours calculation can be multiple.
If you want to calculate working hours for recovery, you will need an HR hours calculation system.
In this context, to calculate working time, the employee must first refer to their employment contract specifying legal weekly working hours.
From the HR tool perspective, HR hours calculation relies on a 35h weekly threshold to trigger HR hours.
Depending on the type of contract, the calculation threshold may be above or below 35h… In the latter case, in French law, this is called complementary hours accounting.
You must also integrate hour increases. For example, hours worked between 35h and 43h may be increased by 25%, and hours beyond 43h by 50%.
Within your company, refer to your collective agreement or company agreement to determine applicable thresholds per hour range and the increase percentage.
Here is an example simulation for a 35-hour weekly contract:
(1) Weekly declared hours 38h
– Hours calculated for the first threshold = 38 – 35 = 3h
– Hours after increase = 3 x 25/100 = 0.75h
– Total weekly hours = 3 + 0.75 = 3.75h
(2) Hours declared by the employee = 45h
– Hours calculated Threshold-1 = 43h – 35h = 8h
– Hours calculated Threshold-2 = 45h – 43h = 2h
…10 gross overtime hours accounted
– Hours after increase = (8 x 0.25) + (2 x 0.5) = (2h) + (1h) = 3h
– Total weekly hours = 10h + 3h = 13h
Once the working hours calculation process is in place, the system can feed a recovery hours counter.
If paying for hours, the hourly rate calculation according to the employee’s contract must be included.

Calculating hours in a modulation context
The field of working hours calculation is very broad, as companies do not all operate in the same way.
In French labor law, there is also the concept of working time modulation.
This applies to companies with seasonal activity, meaning employees may work more or less intensively depending on the period.
For example, during the first six (6) months of the year, an employee may work 40-hour weeks, and during the second half of the year, they may work 30-hour weeks.
The goal is to achieve an average of 35 hours over the entire reference period.
It should be noted that, regardless of the working hours volume during a given period, the employee maintains the same level of salary.
Working time modulation can be complex to manage on a daily basis, as it requires integrating a forecast schedule.
Then, actual hours worked are calculated week by week in order to comply with the quota of working time defined by the company agreement.
Calculating planned working hours
Some companies use activity planning to calculate total working time per employee.
This avoids duplicate entry by the employee.
The goal is uniform tracking of hours.
Among the free HR tools we offer is a free online work schedule planner, allowing specification of time slots by date to organize work efficiently.
If not using the planning table, the timesheet presented here allows specifying start and end times… Then total hours worked are calculated.
Working hours calculation and validation process
For exhaustive working hours calculation, you can include a validation step by the Manager.
An hourly calculation tool allows managing hour entry followed by Manager validation… through a summary table of hours worked.
Without a specialized digital working hours table, this can be done via a printable timesheet.
However, JOUROFF as an HR hourly calculation portal offers tools to digitize working time in all its aspects.
Does the working hours calculator replace the Excel timesheet?
The goal of this online working hours calculator is to make your task easier by providing a calendar system in addition to adding up hours.
Indeed, using an Excel timesheet requires manually defining the dates that belong to a week… This becomes even more complex when calculating hours worked for the entire month.
The hours accounting system allows you to calculate totals line by line, by date, by week, or by month.
You save time and increase efficiency compared to an Excel timesheet.
Working hours and project time counter
Working time calculation can be done within the framework of activity tracking, because beyond HR management, working hours are often also used for billing clients or simply managing company activities.
Therefore, working hours calculation must offer great flexibility.
This timesheet introduces the concept of activities.
An activity can represent a project… In this context, this timesheet can allow reporting time by project.
More than just a working hours calculator, this free calculator lets you both add hours and have a consolidated table of your working time.
Timesheet vs. Working hours calculator
In a global approach to tracking working hours, we offer some points of comparison between a working hours table and this free online hours calculator.
To begin, it should be noted that JOUROFF is a time tracking tool for calculating hours per day designed for SMEs (small and medium-sized enterprises).
Indeed, the SaaS timesheet approach allows accounting for multiple scenarios in time tracking… In this context, it is interesting to study the benefits of an application for calculating working hours.
Within its product range, JOUROFF develops, among other things, a freemium model of tools to calculate working hours for free, aiming to best support companies exploring time tracking tools for employee working hours calculation.
In this timesheet tool approach, employees have a dedicated space to submit their weekly timesheets… a kind of table to calculate working hours intuitively and periodically.
Working hours calculation: tips for employees and employers!
Calculating working hours within the company involves implementing HR organization rules that allow the employer to calculate working hours accurately for all employees.
Generally, calculating working hours requires the employer to enforce rest periods due to leave and absences.
Indeed, tracking working hours involves a broader approach integrating organizational and planning constraints.
In this context, the working hours calculator presented on this page may show some limitations… Nevertheless, this working hours calculator provides employees with a table to calculate worked hours with daily, weekly, or monthly cumulative totals.
Employees can thus track their working hours precisely.
This working hours calculation process is fully managed by the JOUROFF hours tracking portal, which offers complete automation—from reporting hours worked, employer validation of the timesheet, to consolidation of hours tracking.
Thanks to this automation provided by the hourly tracking tool, both the employee and employer benefit from a much more intuitive working hours tracking table.
Calculating hours: what are the benefits?
The working hours calculation tool represents the final step in fully digitizing the HR process, meaning time and activity tracking. The goal is to increase your company’s productivity through full automation of human resources management.
Even though an online timesheet tool can provide key indicators, the planning or time calculation table has the advantage of involving all employees within the company.
It is clear that a company implementing a time tracking system often needs to remind employees to enter their working hours.
Indeed, employees sometimes feel that time tracking takes away time from their regular tasks.
As a provider of online working hours calculation tools, we have analyzed and compiled user needs in the field of time tracking. This has allowed us to develop a user experience–oriented work time calculator.
We therefore offer several features designed to encourage employee adoption.
It should be noted that employee time entry represents the entry point of our HR time tracking solution.
Among the tools available to employees, we can mention our work time calculator, considered one of the best timesheet solutions in its category. Users benefit from the following features:
Duplicate timesheet for daily hours calculation:
Users can duplicate an already completed timesheet.
Through this option, users of the working hours calculator can speed up time entry to increase productivity.
Planning profile for mass entry of monthly working hours:
A planning profile is an advanced feature of the working hours calculator.
The timesheet profile represents a working time base applicable to one or multiple users at once.
It allows mass resource planning, i.e., filling in the timesheet several weeks in advance.
Activity recurrence and replication of worked hours table:
The activity recurrence module offered by the working hours calculator allows automatic pre-filling of weekly or monthly timesheets.
The idea is to define a working time base… Then, the working hours calculator will pre-fill your online timesheet.
Thanks to the recurrence feature, the worked hours calculator saves time in hour entry.
The manager can also download timesheets into an Excel file as a summary table of worked hours.
If users or employees do not have access to the online working hours calculator, this Excel download feature can be useful.
In conclusion, even if the SaaS hours calculator goes further in hourly calculation, the working hours summary table presented on this page still meets several types of requests, namely:
Table to calculate working hours per employee
Working hours per day according to monthly working days
Calculator to quickly add up working hours
Calculation of monthly or weekly working hours
Employees who want to calculate their hours or determine overtime calculation
Working hours calculation to reconcile with salary
